Terms and Conditions

Registration

  • Registration and ticket purchase for the conference take place through an online system.
  • Filling out and submitting the registration form is considered an order and entails a payment obligation.
  • The Organizers reserve the right to decline certain registrations at their discretion.
  • Registrations are processed in the order of receipt and will be confirmed by email from the Organizers.
  • Payment can be made in two ways: either immediately by credit card at the time of registration or via bank transfer based on a pro forma invoice sent after registration.
  • One ticket is valid for one participant only and cannot be shared among multiple attendees.
  • The video conference link is non-transferable, and participants acknowledge this.
  • The Organizers reserve the right to cancel a participant’s registration if they violate the “Terms and Conditions” or the Code of Conduct, or if their behavior disrupts the event, other participants, sponsors, or organizers. In such cases, the participation fee will not be refunded.

Invoicing

  • If bank transfer is selected, a pro forma invoice will be sent to the billing and/or registration contact email address provided during registration. Once the payment is received, an advance invoice will be issued, followed by a final invoice after the event, in the format specified during registration (by post or electronically).
  • If credit card payment is selected, an advance invoice will be issued for the amount paid, followed by a final invoice after the event, in the format specified during registration (by post or electronically).
  • The participation fee for the in-person confrence day(s) (Monday and/or Tuesday) includes lunch and coffee breaks, which appear as separate items on the invoice as mediated catering services, with applicable taxes borne by the participant.
  • If the participation fee is not paid, the Organizer may deny the participant entry to the event.

Event Cancellation, Changes, and Refunds

  • The Organizers reserve the right to change the venue and the program.
  • The Organizers reserve the right to cancel the event. In such cases, any participation fees already paid will be refunded; however, participants may not submit any further claims or compensation requests to the Organizers.
  • Cancellation or modification of purchased tickets is possible until the following date and under the following conditions:
    • conference tickets may be cancelled until April 20, 2026,
    • the “All-Inclusive (3-day) hybrid conference ticket” may be modified to an “All-Inclusive (3-day) online conference ticket”, and the “2-day hybrid conference ticket” may be modified to a “2-day online conference ticket” until April 20; in this case, the price difference based on the purchase price will be refunded to the participant/orderer,
    • the “All-Inclusive (3-day) online conference ticket” may be modified to an “All-Inclusive (3-day) hybrid conference ticket”, and the “2-day online conference ticket” may be modified to a “2-day hybrid conference ticket” until April 20; in this case, the price difference between the current prices of the two ticket types must be paid to the Organizer.
    • Unfortunately, cancellations after this date cannot be accepted; however, the right of participation may be transferred within the same company.
    • If you wish to modify or transfer your ticket, please notify us of the changes at hello@budapestdata.hu.
  • As Organizers, we are responsible for the health of our speakers, participants, and colleagues; therefore, we reserve the right to hold the days originally planned as on-site events (May 18–19) in an online format if necessary. In such cases:
    • tickets entitling on-site participation will be converted to online tickets and the price difference will be refunded,
    • if the participant does not wish to participate in the online format, they may cancel their participation free of charge by the deadline specified in the notification sent by the Organizers.

Media, Photography, Filming, and Live Streaming

  • During the conference, the Organizers may take photos and record videos in which participants may appear and/or their voices may be heard. The Organizers have the right to use and publish these materials without compensation. If a participant does not wish to have their photo/video published, they must notify the Organizers in advance.
  • Recording or live streaming the conference without the Organizers’ permission is prohibited.

Data Processing and Sharing

By purchasing a ticket and submitting the participant registration form, both the buyer and the participant accept the above terms and conditions.
